Loops That Run All Day Without Being Watched

A convention lives or dies on whether attendees can get from their hotel to the hall without thinking about it. We run the loop continuously, on a published headway, for as many days as the programme lasts.

Conference transportation is not a set of trips, it is a service that has to stay up. Attendees do not read a schedule; they walk outside and expect a vehicle. That means headway rather than departure times — a coach every twelve or fifteen minutes from each hotel to the venue, from the first session to the last, with extra capacity stacked around the keynote and the closing reception.

What we run

  • Continuous hotel-to-venue loops on a fixed headway, one hotel or many
  • Airport arrival and departure waves timed to the programme — BWI, DCA and Dulles
  • Evening runs to offsite dinners, receptions and the closing event
  • Accessible vehicles arranged on request — tell us early and it is simply part of the plan

Where it happens

  • Walter E. Washington Convention Center and the downtown DC hotel block
  • Gaylord National and the National Harbor properties
  • Baltimore Convention Center and the Inner Harbor hotels
  • University campuses and corporate conference centres across Maryland and Virginia

How it is run

  • One coordinator for the whole event, reachable during it and not only when booking
  • Drivers briefed on the venue’s actual coach entrance, not the front door the map suggests
  • Windscreen signage so attendees can identify the right vehicle at a glance
  • One invoice at the end, NET-30 for corporate accounts
Questions

Answered Before You Ask

How far ahead should we book a conference shuttle?
As early as the hotel block is signed. Multi-day continuous loops tie up several vehicles and drivers at once, and the best spring and autumn dates go months out.
Can you run more than one hotel on the same loop?
Yes. Multiple hotels usually work best as a single circuit on a published headway rather than separate routes, so a missed vehicle costs an attendee minutes instead of a session.
What happens if the programme runs late?
The loop runs until the programme is done. We plan driver hours around the published schedule plus a margin, and we would rather hold a vehicle than strand a room full of attendees.
Do you provide shuttle signage?
Yes, windscreen signage naming the event or the hotel. For larger conferences we will carry your own signage if you would rather the branding matched the programme.

Send us the programme. We’ll build the loop around it.
