Terms & Conditions

The full agreement governing a booking with Monument Coach. Plain language, no surprises buried in the middle.

Last updated 10 September 2026. Confirming a reservation, paying a deposit or signing a service agreement constitutes acceptance of these terms. Corporate accounts operating under a signed master agreement are governed by that agreement where the two differ.

1. The service

Monument Coach provides chauffeured group transportation on a charter basis. A booking reserves a vehicle of a stated capacity tier, with a professional chauffeur, for a defined window of time and an agreed itinerary. The client agrees to pay the charges set out in the confirmation, including any charges properly incurred during service.

2. Quotations and confirmation

  • Quotations are firm for the itinerary quoted. Changes to headcount, timing, stops or vehicle may change the price.
  • A reservation is confirmed when the deposit is received, or, for accounts on terms, when the booking is confirmed in writing.
  • Rates are quoted hourly against a minimum, or as a flat rate for defined transfers. Tolls, parking and permits are not included in the quoted total unless stated.

3. Payment

  • A deposit confirms the booking. The balance is due on or before the date of service.
  • A 4% processing fee applies to payments made by credit card, Apple Pay, Cash App or Klarna. It does not apply to payments made by bank transfer, Zelle, Venmo or cash.
  • Corporate accounts may be invoiced on NET-30 terms by prior arrangement. Certificates of insurance are available on request before the date of service.
  • Gratuity is at the client’s discretion unless a service charge is stated on the confirmation.

4. Cancellation and refunds

Deposits are non-refundable and non-transferable. Cancellation within seven days of service incurs 50% of the reservation total; cancellation on the day of service incurs 100%. 5. Changes to a booking

Changes to pickup points, stops, timing or headcount should be submitted in writing no later than 72 hours before service so that routing, staffing and vehicle assignment can be adjusted. Later changes are accommodated where possible and may affect the price. Verbal changes given to a driver on the day are not binding.

6. Time, overtime and waiting

  • Contracted time runs from the scheduled pickup to the scheduled final drop-off, inclusive. A booking from 6:00 PM to midnight is a six-hour booking.
  • Overtime is billed in 30-minute increments at the contracted hourly rate, so a ten-minute overrun is one increment rather than a rounded-up hour.
  • It is the client’s responsibility to plan for traffic, additional stops and comfort breaks within the contracted window.
  • Where another booking follows yours, an extension may not be available. Tell us as early in the day as possible if you expect to run long.

7. Vehicle assignment and substitution

Vehicles are assigned by capacity tier and availability. We reserve the right to substitute a vehicle of equivalent or greater capacity, including where the assigned vehicle is withdrawn for mechanical or safety reasons. A substituted vehicle may differ in make, model, exterior colour, interior finish or configuration. Where a specific vehicle is material to the booking, confirm it with us in writing at the time of booking and we will record it on the reservation.

8. Delays

We are not responsible for delays caused by weather, traffic, road closures, construction, accidents or other circumstances beyond our reasonable control, and such delays do not give rise to a refund or credit. Where the schedule permits, we will offer to extend the booking by the time lost.

9. Routing

Chauffeurs follow the routing indicated by the vehicle’s navigation system and their own judgement of road and vehicle conditions. Height, weight and access restrictions apply to larger vehicles. A preferred route will be accommodated where it is safe and lawful to do so.

10. Capacity and luggage

Stated seating capacity assumes adult passengers seated shoulder to shoulder and is reduced by bags and equipment carried in the cabin. Luggage capacity is materially lower than seat count on every tier. We reserve the right to decline carriage of passengers beyond the stated capacity of the assigned vehicle.

11. Conduct

  • All vehicles are non-smoking, including vapour products. Violations incur a cleaning charge.
  • Alcohol may only be consumed by passengers aged 21 or over, where permitted by law. We do not supply alcohol. The client is responsible for ensuring compliance and we may request identification.
  • Illegal activity results in immediate termination of service without refund.
  • We operate a zero-tolerance policy for abusive conduct toward chauffeurs or staff. Service may be terminated without refund and passengers may be set down at a safe and public location.
  • For safety, passengers should remain seated while the vehicle is in motion. We are not liable for injury resulting from failing to do so.
  • Emergency exits, hatches and releases are for emergencies only.

12. Damage and cleaning

The client is responsible for damage caused by their party, whether deliberate or accidental, and for returning the vehicle in a reasonable condition. A minimum charge of $100 applies to cleaning or repair, with the actual cost charged where it exceeds that. Scope and cost of repair are determined by Monument Coach.

13. Personal property

We are not responsible for items left in a vehicle. Found items are held at our Jessup facility for 30 days, after which they are disposed of. We are not able to post or deliver recovered items; collection is by arrangement.

14. Insurance and compliance

Monument Coach operates commercially insured, DOT-compliant vehicles with background-checked chauffeurs. Certificates of insurance are provided on request. Nothing in these terms limits liability where it cannot lawfully be limited.

15. Privacy

Information collected in the course of quoting and operating a booking is handled in accordance with our Privacy Policy. We do not sell client information.

16. Governing law

These terms are governed by the laws of the State of Maryland.
